Create a Reusable Google Meet Link (via Google Calendar)
Use this when you want one Meet link you can reuse anytime (for office hours, recurring check-ins, etc.).
You’ll make a single, recurring calendar event that always has a future date so the Meet code stays valid.
About link expiration
Meet codes created in Google Calendar stay valid as long as the event has future occurrences. They also expire after 365 days of inactivity (no one joins for a full year). To be safe, don’t delete the series and open/use the link at least once per year.
Important (Calendar + Meet change): If you change the time or recurrence of this reusable event and Calendar asks whether to apply changes to This event / This and following events / All events, choose All events to keep one reusable Meet link. Choosing This and following events now creates a new recurring series with a new Meet link for the “following” events while the original series keeps the old link. All properties of the Meet conference (for example the host, cohosts, access restriction, recording) are preserved for both Meet links.
Quick steps
- Open Google Calendar and click Create → Event.
- Title it using a clear convention, e.g., “Meet – <Last Name> (Reusable/FID)”.
- Set Date/Time to All day, and change Show as to Free (so it doesn’t block your schedule).
- Click Does not repeat → Custom and set it to Yearly, with No end date.
- Click Add Google Meet videoconferencing (this generates your reusable link).
- In Notifications, click the X to remove any default reminders (optional).
- Click Save. Your event will show a Join with Google Meet button and your Meet URL.
- To share/copy the link later, open this event and copy the Meet link shown beneath the title.
Tips (optional but helpful)
-
Make it easy to find: Keep the title consistent (e.g., “Meet – Smith (Reusable)”) so you can search your calendar quickly.
-
Add co-hosts/guests now: If you routinely co-host, add them in Guests so the event always contains the right roles.
-
Privacy: Set Visibility to Private if you don’t want event details visible to others.
-
Don’t move or delete the series: Editing is fine, but deleting the event (or ending the recurrence) removes future instances and can invalidate the code.
How to use the link
Open the event anytime and click Join with Google Meet, or copy the Google Meet link to paste into an email, post, or Schoology.
